Photo ID is required for check-in at the airport, hotel and for other package options. Flight check-in time is 1½ hours prior to departure for domestic flights and 2 hours prior for international flights.

At most hotels, check-in time is 3:00 pm and check-out time is 11:00 am. Special requests are only requests and are not guaranteed. Vouchers and airline tickets are non-transferable. There are no refunds for unused airline tickets and/or vouchers. Hotels, at check-in, may ask for a major credit card or cash deposit for incidentals. Car rentals, at check-in, require a major credit card and a valid driver’s license. Proof of citizenship will be required for international travel.

Rental Cars: Each car day included in the package consists of a 24-hour period beginning when the car is picked up. No refund will be made for unused cars. If the rental car is returned beyond the 24-hour period, additional charges may apply. Additional charges incurred must be paid directly to the rental car company. Car rentals may not include taxes. Liability insurance, drop-off charges, gas, collision damage waiver, personal accident insurance, personal effects protection or child safety seats are not included with car rental. Rental car company age restrictions will apply.

Holds: Packages may be placed on a courtesy hold according to the following:

25 days or more
1-24 hour hold

24 days or less
Shift hold

Packages including published air may only be placed on a shift hold. Holds may not be available for specific packages.

Payment: Packages traveling 24 days or less prior to departure may be placed on a shift hold only. For regular reservations made in advance, a deposit may be required at the time of booking. Certain packages may require payment in full at time of booking. Acceptable forms of payment are as follows:

Note: Packages booked 8 days or less prior to departure may be subject to an additional processing fee of $50. A deposit of $125 per person is required 46 days or more prior to departure. Full payment is required 45 days or less prior to departure. If full payment is not made when required, AWV reserves the right to automatically charge the credit card utilized for deposit or cancel reservations. Cancellation fees will apply. AWV reserves the right to re-invoice in the event of errors.

Cancellations: Cancellations of packages booked directly through AWV must be phoned in to AWV and are effective at that time. Cancellations occurring after either partial or full payment are subject to cancellation fees as follows:

$150 per person, plus 3rd party fees

Non-refundable

Some packages are NON-REFUNDABLE, and you will be advised of this at time of booking. Cancellations of a person or persons in a package which involve a change in hotel room configuration are subject to rates in effect at the time cancellations are made. An Optional Cancellation/Change Waiver may be available with some packages. For details, see below.

Changes: All changes made to existing reservations are subject to change fees as follows:

Additional charges by third party vendors such as hotels and other airlines may apply. Name changes are not permitted at any time. Some packages are NON-CHANGEABLE. Changes in a package that involve a change in hotel room configuration are subject to rates in effect at the time changes are made. If the rate increases, payment will be required at the time of the change. An Optional Cancellation/Change Waiver may be available with some packages; for details, see below. Changes to passenger’s return flight while in travel are subject to availability, airline contractual agreements and/or additional change fees.

Refunds: Requests for refunds on non-refundable packages must be submitted in writing not later than 30 days after the departure date. The request must include the return of all issued documentation, including airline tickets and vouchers from all ticketed individuals. No refunds or exchanges will be made for any unused package or complimentary package components. No refunds will be provided for lost, destroyed or stolen documents or tickets.

Optional Cancellation/Change Waiver: Cancellation/Change Waiver (CCW) can be purchased at the time of deposit for $59 per person. All passengers traveling in the same reservation must purchase the CCW. CCW’s may have an advance purchase requirement. When paid in full with the required deposit, the CCW protects the passenger against the AWV change or cancellation fees normally assessed up to 5 days prior to departure. CCW’s do not protect against airline flight/schedule changes. Name changes are not permitted at any time. Further, the CCW may not be available for specific packages, and does not protect overall package pricing or agency commissions, or eliminate change fees or other charges assessed by third party vendors such as hotels and other airlines. The CCW protects only against AWV’s own change or cancellation fees and should not be confused with a “traveler’s insurance” type of program. CCW’s are NON-REFUNDABLE in part or whole.

International Travel: A passport and visa, or specific types of proof of citizenship and a picture ID (requirements vary by country) will be necessary for all international travel. Citizens of other countries will need proper documents, generally a passport and visa (requirements vary by country) to enter the United States. Additional departure taxes will apply. Children 17 or under traveling without both parents/legal guardians will need additional documentation.

Advisement By Travel Agents: Travel agents making an AWV reservation warrant that each customer has been provided with and advised to carefully review a copy of the foregoing information and that the customer fully understands that he/she is subject to said requirements and policies.
